Get better minutes with less editing

You don't need a perfect transcript or every speaker named. These tips from Office Hours save clerks the most time.

Many clerks spend hours fixing every line of the transcript before they generate minutes. You don't have to. ClerkMinutes uses your recording, transcript, and agenda together when it writes your minutes, so a few mistakes in the transcript don't have to slow you down.

Tip 1: Generate first, fix later

Follow the simple flow: add your agenda, upload your recording, and generate your minutes. Skip naming every speaker and correcting every line. Then review the minutes, which is much faster than reviewing the whole transcript.

Tip 2: Help ClerkMinutes recognize voices

  • Start each meeting with a roll call, read out loud.

  • Ask speakers to say their name before they speak, when you can.

  • Keep each department's member list up to date. See "How to add team members".

Tip 3: Use custom instructions for anything that repeats

If you make the same fix every meeting, tell ClerkMinutes once. Custom instructions are saved for each department, so they're ready for the next meeting.

  • "Always spell the Mayor's name as Hughson."

  • "Use full titles for all board members."

  • "Use fewer bullet points and write in paragraphs."

See "How to use custom instructions".

Tip 4: Use AI Actions for one section

Select just the paragraph you want to change, click AI Actions, and choose Make Longer, Make Shorter, or Describe Your Change. The rest of your minutes stays as it is. See "How to edit your minutes with AI Actions".

Tip 5: Ask the chat

The chat on the right side of your meeting (beta) can answer questions about the recording, transcript, agenda, and minutes. Try:

  • "What did the Mayor say about the budget? Give me the exact quote."

  • "List the action items from this meeting."

  • "Rename Mayor Amy to Amy Moresco throughout the minutes."

Copy what you need straight into your minutes.

Tip 6: For detailed layouts, finish in Word

If your minutes need a very specific layout, like tables, signature blocks, or a fixed template, let ClerkMinutes write the content. Then download your minutes as a Word document and paste them into your template.
