When you upload a recording, ClerkMinutes now matches the voices in your transcript to the members of the department or board assigned to the meeting. Instead of "Speaker 1" and "Speaker 2", you'll see real names right away.
Most of the time the names will be right. If one isn't, it only takes a click to fix.
Reassign a speaker
Open your meeting and go to the Transcript & Speakers tab.
Click the play button on a line to hear who is talking.
Click the speaker's name.
Choose the right person from the dropdown. Members are grouped by department, so click a department to see its members.
Choose whether to change this line only, or every line with the same speaker.
Remove an assigned speaker
If you'd rather start fresh, click the speaker's name and deselect the assigned person. The line goes back to its original label, like "Speaker 1", and you can assign the right name whenever you're ready.
Generate minutes without assigning speakers
You don't have to name every speaker before you generate your minutes. ClerkMinutes uses the members of the meeting's department or board to put names in your minutes. Your transcript stays as it is. The names only appear in the minutes.
If a name in your minutes is misspelled, add a custom instruction before you re-generate, such as "Rename Jon Smith to John Smyth." See "How to use custom instructions".
Get more accurate names
Automatic speaker names are only as good as your member list. To get the best results:
Always choose a Department/Board when you create a meeting.
Keep each department's members up to date, with names spelled the way you want them in your minutes. See "How to add team members".
Add board members who don't need a login without an email address. They'll still be available as speakers, and they won't receive any emails from us.
Tip: If you see the same person named wrong at every meeting, check that they're listed in the right department.
Need help?
If names keep coming up wrong, email [email protected] with the meeting name and we'll take a look.
