Here's how a typical monthly board or council meeting looks in ClerkMinutes, from the week before the meeting to publishing your minutes.
The week before the meeting
Drag and drop your agenda PDF onto the Meetings page. ClerkMinutes creates the meeting and fills in your agenda items. See "How to create a meeting" for details.
The day before the meeting
Open the Agenda tab and review your agenda items. Add, edit, or reorder anything that needs it.
After the meeting
Upload your recording in the Recording & Transcript tab. Transcription starts on its own and usually takes 1 to 2 minutes for every hour of recording.
Review and assign speakers
Open the Transcript & Speakers tab, check the transcript, and replace "Speaker 1", "Speaker 2" and so on with real names. This takes about 30 minutes.
Generate your minutes
In the Minutes tab, choose a length and tone (Medium and Professional are a good place to start) and click Generate Draft Minutes.
Review and refine
Read through your draft. Use AI Actions to make a section longer, shorter, or reworded, or edit the text directly.
Publish
Share your public meeting page link on your website, or download your minutes as a PDF or Word document.
Tip: Most clerks finish this whole process in 1 to 2 hours, compared to a full day or more by hand.
