Every set of minutes starts with a meeting. You can create one in two ways. If you already have your agenda as a PDF, Option 2 is the fastest.
Option 1: Create a meeting from scratch
Open ClerkMinutes in your HeyGov account.
Click Add meeting.
Enter the Meeting Title and Date.
Choose a Department/Board. This is optional, but we recommend it. Your template settings and saved instructions are kept by department, so you only set them up once.
Add a Description or Categories if you'd like.
Click Create meeting.
Your meeting is ready. Next, add your agenda items in the Agenda tab.
Option 2: Drag and drop your agenda PDF
Open the ClerkMinutes or Meetings page.
Drag your agenda PDF onto the page.
ClerkMinutes reads the PDF and creates the meeting for you, with your agenda items already filled in.
Open the meeting to review the details and make any edits.
Tip: For the best results, upload a clean PDF without a watermark. Scanned or image-only PDFs can't be read. If that happens, add your agenda items by hand in the Agenda tab.
Having trouble?
If your agenda items didn't come through correctly, check the PDF for a watermark first and try again with a clean copy. Still stuck? Email us at [email protected] with the meeting name and we'll take a look.
Prefer to ask in person? Pop in during Office Hours every Thursday to ask questions, troubleshoot, or learn something new. Anyone can come, whether you're a customer or still on your free trial.
